A clock card is used by machines in a company to record the times an employee enters work or leaves work space, largely through thumb punches, or card scanning. Each employee is given a separate identity card, with an individual bar-code number.
The machine scans the individual barcode number and records the time slots for the employee. The same is also true for thumb impressions. Each person has a unique thumb print and impression, and hence attendance marking becomes easier and relatively error free through the punch-ins via thumb impressions.
Clock cards are used because they provide real time data and means of recording and updating data in real time. Furthermore, there are minimum chances of deceit as clock-cards use identity measures that are unique, and are not easily copied.
The compilation of data at the month closing for an organization also becomes easier, as the machine provides services of summing up the hours, marking late entries etc on the clock card, which may be used for organizational record, and may also be provided to the employee for personal record.
The use of clock cards is also important and increasingly popular because it provides up-dated information at any time needed- ranging from the beginning of the month to the middle and towards the end; at any time the data is required.
The reliance on non-manual means of recording attendance also provides cost effectiveness to the organization, and improves the reduction in errors and nepotism, as well as undue favors by tenfold.
Precision is another reason why clock cards are preferred as an efficient and effective means of recording time slots for employees. Moreover, clock cards allow managers to clearly see which employees are working and which are not, during for example lunch breaks etc. this makes payment easier. For example, if an issue arises, and an employee sits back and works over time to resolve it, the sign-out time through the clock card will allow the manager to see the over-time worked, and the employee would be rewarded accordingly.
This also prevents possible cases of fraud and allows the company to enforce its policy. Employees, who are late, or tardy maybe brushed by managers on their behavior, and punctuality maybe encouraged, to enforce discipline amongst employees, as required by the company policy.
